Job Objective:
The Manager of Indirect Business will provide leadership and management to the Account function as assigned across the organization. Performance of this role must be carried out in a manner which is sales and branch supportive and collaborative, minimizes losses, and meets or exceeds company goals set for indirect business accounts.
Responsibilities:
Monitor monthly balances of customers & work closely with management & sales when issues arise
Willingness to create and utilize innovative solutions for daily tasks to help increase department overall productivity
Maintain customer files and ensure information is correct
Develop meaningful relationships with account suppliers by understanding their needs and handling problems with a positive attitude
Establish and enforce boundaries that are consistent with the account contracts in place
Manage account team members
Serve as the point of contact and maintain relationships with account vendors as requested
Establish and document best practices & SOPs for account processes
Review account processes periodically to ensure goals/efficiencies are being met/maintained & work with other department stakeholders to ensure processes align as desired (i.e. MDM, Finance, A/R)
Serve as lead on special projects (ex. vendor portal upgrades/changes, cost/delivery rate changes, IT issues etc.)
Ensure that all accounts are being posted to/reconciled by team members in a timely manner
Serve as liaison between accounts team and operations when necessary
Review regularly the status of invoices to assure that assigned book of A/R is in sound condition, striving to reduce past due balances and increasing current balances
Follow up on disputes in a timely manner and work with salespeople, suppliers, and customers to resolve.
Communicate A/R, delivery, or supplier relationship issues to senior leadership
Process daily data entry for assigned vendors/partners
Confirm daily orders
Verify POD's match invoice entry
Maintain account portals and ensure accuracy
Oversee account reconciliation
Manage all invoicing and delivery disputes for accounts
Have access to and be familiar with the contents of the agreements, roles, and responsibilities of each party in the supply relationship the agreements define
Maintain relationships with salespeople, and Management as it relates to the status of customer accounts
Maintain a positive attitude with fellow associates, management and customers
Work with customers, suppliers, and the branch.
Establish and maintain positive relationship/communication with other departments and clients to enhance customer service and promote organic sales growth
Work with customers and the branch and visit them when warranted as approved by management
Represent the company in a professional manner at all times ensuring quality customer service
Abide by all policies, rules, and regulations of the company including all applicable safety rules, regulations and procedures
Support corporate programs, goals, and initiatives of the company
Perform additional duties as assigned by the Manager
Requirements:
Must be local, live within 60 miles of terminal
2-5 years of experience in lubricant administration or support role
Ability to work with and analyze numbers
Advanced computer skills (Operating System and Microsoft office)
Ability to analyze solutions (problem solving skills)
Able to initiate and embrace change
Judgement and decision-making ability
Time management skills (ability to multi- task)
Interpersonal skills
