Senior Operations Associate

Family Office | In-Office Role

We are seeking a detail-oriented, execution-focused professional to support a broad range of operational initiatives within the private family office. This role is best suited for a conscientious, hands-on individual who thrives in a fast-paced, high-expectation environment and prefers execution over management. The ideal candidate is adaptable—able to navigate novel projects, occasionally changing direction, and varying project scale without losing focus, organization, or quality of execution. This is a hands-on, individual contributor role focused on execution.

Key Responsibilities

  • Lead and execute a wide range of special projects, including construction administration, government programs, and research projects leveraging outside vendors and subject matter experts.
  • Real Estate: Coordinate and manage real estate transactions, diligence, financing, minor leasing, loan compliance, property tax, insurance, etc.
  • Conduct first-pass reviews of contracts, agreements, and transaction documents prior to legal review.
  • Support dispute resolution (including litigation support when needed) by coordinating with internal stakeholders, general counsel, and outside legal advisors.
  • Source and vet vendors. Help with basic due diligence of portfolio investments.
  • Conduct occasional research on novel topics synthetizing data and reports via AI tools like ChatGPT.
  • Take ownership of ad hoc, high-priority projects across the family office as needs arise.
  • Ensure all documentation is carefully stored and organized for future reference.
  • Create concise presentations to C-Suite outlining key projects, proposals, or processes.

Ideal Candidate Profile

  • 8+ years of experience in one or more of the following:

Private equity, transactions, or asset management

Legal support (paralegal, closing specialist, or similar)

In-house family office operations

High-volume construction administration

  • Bachelor's degree in business, engineering, accounting, or related field. Will consider candidates with exceptional equivalent work experience.
  • Strong organizational and project management skills with exceptional attention to detail
  • Ability to manage multiple workstreams and follow through reliably in a demanding environment.
  • Comfortable reviewing contracts and transaction documents at a high level
  • Professional demeanor with the ability to work effectively with senior stakeholders and external partners.
  • Highly adaptable, with a willingness to take on a wide variety of responsibilities.
