Position:

Our company is seeking a highly organized and proactive administrative assistant. The administrative assistant will work with the President and other administrative assistant of the company to ensure communication is streamlined and administrative responsibilities are completed effectively and timely.

Job Description:

  • Work responsibilities include all general office operations as follows:
  • Manage phone calls, negotiate and manage the purchase of office supplies, manage office equipment and including managing service calls by vender techs, handle mail and shipments, respond to emails, type correspondence, filing both digitally and file cabinets, coordinate renewal of insurance policies before they expire, coordinate leases before they expire and have a general understanding of property taxes ( Ad Valorem Taxes)
  • Coordinate and schedule meetings and appointments.
  • Charitable Foundations, preparing meeting agendas, recording minutes, and managing related correspondence, meeting binders and communications.

Qualifications:

  • 10 years of administrative assistant experience required.
  • 5 years of proficient QuickBooks working knowledge preferred not required.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel) and other relevant software.
  • Ability to handle confidential information with discretion and professionalism.
  • Excellent communication and interpersonal skills.
  • Ability to multitask, prioritize, and manage time effectively.
  • Exceptional attention to detail, ability to work independently and "follow up" until tasks are completed.
  • Excellent spelling and grammar.
  • Self-starter
