Description:

A leading global financial services firm is seeking a highly organized and professional Office Administrative Support specialist to join its Private Wealth Management team. This role is ideal for someone who thrives in a fast-paced, client-facing environment and enjoys being the go-to person for keeping operations running smoothly.

You'll play a key role in supporting day-to-day office functions, assisting internal teams, and helping deliver a high-quality experience for both clients and colleagues.

Key Responsibilities:

  • Provide day-to-day administrative and office support
  • Handle incoming and outgoing mail, including sensitive financial documents
  • Manage travel arrangements and process expense reports for team members
  • Maintain calendars, coordinate schedules, and answer incoming calls
  • Organize and support internal and external events, meetings, and interviews
  • Book conference rooms, coordinate catering, and prepare materials
  • Serve as a point of contact for visitors and building services
  • Support the Wealth Management team with client servicing and operational tasks

Qualifications:

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • 2+ years of experience in a professional office environment preferred
  • Bachelor's degree preferred but not required
  • Strong communication skills (written and verbal)
  • Highly organized with strong attention to detail
  • Ability to multitask and prioritize in a fast-paced setting
  • Professional demeanor and client-service mindset
  • Strong judgment, integrity, and reliability
  • Team-oriented with a proactive attitude
