Educational and Experience Requirement

Bachelor's Degree in Business Administration, Marketing, Management, or related field. Two years relevant administrative assistant experience required. Experience in Higher Education is desirable. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.

Nature & Purpose of Position

Performs administrative support duties for the Vice President of Facilities Management and the Facilities Management Department.

Primary Responsibilities

Performs advanced administrative support functions for the Facilities Management Department. Collects, reconciles, maintains, and analyzes complex data to support departmental operations and reporting. Develops, coordinates, and monitors assigned departmental processes and procedures. Tracks project timelines, identifies potential issues, and communicates concerns to appropriate staff. Prepares, reviews, revises, and distributes a variety of reports, presentations, correspondence, and official documents. Plans, coordinates, and supports departmental events and activities throughout the year. Attends meetings, records minutes, and prepares follow-up documentation as required. Orders, tracks, and maintains departmental supply inventory. Coordinates with vendors regarding orders, returns, discrepancies, and problem resolution. Processes Purchasing Card (P-Card) transactions and monitors expenses for accuracy and compliance. Coordinates travel arrangements for Facilities Management staff as requested. Coordinates and oversees assigned program activities to ensure timely and effective execution. Provides front desk coverage and customer service assistance in the absence of student employees. Assists with the Vice President's daily administrative needs, including calendar coordination, meeting attendance, and note-taking, as requested or in the absence of the Executive Assistant. Performs other related duties as assigned.

Other Specifications

Ability to organize, prioritize, and manage multiple projects and responsibilities with strong attention to detail. Ability to adapt to changing priorities and provide support across various functional areas as needed. Requires detailed knowledge of university infrastructure, policies, procedures, and administrative practices. Requires comprehensive knowledge of office systems, software applications, and standard administrative processes. Ability to perform high-volume data entry with a high degree of speed and accuracy. Demonstrated ability to exercise sound judgment, ingenuity, and discretion in daily work activities. Ability to work collaboratively with coworkers, campus partners, and stakeholders while consistently providing a high level of customer service. Regularly engages in routine telephone and electronic communication with employees across multiple departments on campus to obtain or exchange work-related information; may devote approximately 25% to 50% of work time to such interactions. Demonstrated ability to identify and resolve operational issues and recommend process improvements to enhance efficiency and effectiveness.

Position requires driving and operating a University vehicle; therefore, a valid Texas driver license and driving record acceptable to the university's insurance carrier is required.
