JOB SUMMARY
The Post Fixture Specialist is responsible for issue and settle freight invoices, demurrage claims and other other voyage-related accounts payable and receivables.
This role supports the global Post Fixture team, ensuring all processes are executed in a timely, accurate, and compliant manner, in close coordination with commercial and corporate stakeholders. The Specialist contributes directly to the company's financial performance by ensuring prompt invoicing, quick settlement of all accounts receivables, efficient claim resolution, and accurate reporting, while maintaining strong alignment with global policies and procedures.

PRINCIPAL DUTIES & RESPONSIBILITIES

  • Prepare and issue freight invoices, demurrage claims, and other voyage-related billing items in accordance with charter party terms, ensuring all freight and claims are sent out on time.
  • Proactively follow up and negotiate with charterers, brokers, and internal stakeholders to settle all outstanding claims and ensure timely settlement of accounts receivables.
  • Review and verify voyage documentation, laytime statements, and operational data to ensure accuracy and compliance.
  • Achieve key performance indicators (KPIs) and support monthly closing activities, ensuring all deadlines and reporting deliverables are met.
  • Collaborate closely with the Operations, Accounting, and Commercial teams in the U.S. and Singapore to resolve post fixture matters.
  • Maintain accurate records and documentation in IMOS, Sedna, and PeopleSoft 8.
  • Support continuous improvement initiatives to streamline processes and enhance data accuracy across regions.
KNOWLEDGE & SKILL REQUIREMENTS
Technical Competencies
  • Understanding of laytime calculation/ concept, demurrage, and voyage accounting principles.
  • Proficiency in IMOS, Sedna, and PeopleSoft 8 is preferred.
  • Knowledge of charter party terms, freight invoicing, and shipping documentation.

KEY STAKEHOLDER RELATIONSHIPS
Internal Stakeholders
  • Work closely with the Leader and Head of Department, Post fixture to ensure KPI target has been met.
  • Collaborate with Singapore and global Post Fixture specialists to ensure alignment and smooth execution of post fixture processes across regions.
  • Liaise and coordinate with Operations, Accounting, Commercial, and Fleet Strategy teams to ensure accurate information flow, effective issue resolution, and data accuracy.
  • (For Houston or Wilton based personnel) Report functionally to the Headquarter (HQ) Post Fixture leadership, while maintaining strong day-to-day collaboration with colleagues in both HQ and subsidiary offices
External Stakeholders
  • Liaise with charterers and brokers to reconcile laytime calculations, resolve disputes, and ensure timely settlement of outstanding accounts receivable invoices and claims.
EDUCATION & QUALIFICATIONS
  • Bachelor's degree in Maritime Studies, Business, Logistics or a related field
  • Diploma in Maritime studies, Business, Logistics or a related field
  • Or equivalent experience in a shipping, operations, or post fixture function.
YEARS OF RELEVANT EXPERIENCE
  • 1-3 years of experience in shipping, operations, or a related role is preferred.
  • Recent graduates or early-career professionals with keen interest in Post Fixture and strong analytical and communication skills will also be considered.
