Job Summary

The Equipment Logistics Coordinator is responsible for planning shipments, monitoring their progress, and preparing any necessary documents and regulatory requirements.


Essential Job Duties

International Logistics – Ocean Freight:

  • Complete inbound shipping schedule by 5pm every Friday (in Monday software). Schedule should be accurately updated with current packing slips.
  • Request & book all inbound container shipments (Malaysia to US):
  • Minimum 16, 40'HC containers per month (4 per week)
  • Split schedule between freight companies such as Yusen, Stream, and Morrison to keep costs as low as possible
  • Receive quotes from a minimum of 5 companies to stay within budget
  • Request and negotiate for lower rates at least monthly
  • Ensure that Smartech (SMT) sends container load plans at least 2-3 weeks prior to all shipments
  • Verify exact container load plan one week before SMT loads containers
  • Confirm exactly what will ship in each container, add spare parts as space allows
  • Schedule monthly Zoom or Teams meetings with Tier 1 and Tier 2 freight providers
  • Complete outbound shipping schedule by 5pm every Friday (in Monday software). Schedule should include outbound container shipments with contents as well as shipment schedule from major export components suppliers such as Onda.
  • Request and book all outbound container shipments (US to Malaysia)
  • Verify cost per container
  • Complete commercial invoice and packing slips one week prior to container loading for approval
  • Update Smart team weekly on delivery of all containers
  • Verify pick-up numbers for inbound shipments
  • Text team once containers are headed to shop

International Logistics - Air freight:

  • Import: keep an updated spreadsheet of all inbound Smartech and Onda air freight shipments
  • Export: keep an updated spreadsheet of all outbound air freight shipments to Smartech. Sheet must include all items shipping, tracking information, and proof of delivery with dates for easy reference

Paperwork & Bond:

  • Receive all SMT paperwork. Keep one copy and distribute to accounting as required.
  • Send the required hard copies to the correct freight company
  • Send SMT all appropriate air freight documents
  • Send SMT all appropriate CRR component partner facility documents
  • Complete all commercial invoices and packing slips for any shipments sent by CRR
  • Ensure that all equipment freight POs are correctly entered in the system
  • Ensure that our Bond is maintained (paid on-time and correct)

Equipment Domestic Logistics:

  • Request, schedule, and book any PPA shipments for customers for equipment if needed
  • Add shipping & handling cost to invoices
  • Train inhouse logistics employee to get equipment freight estimates for delivery of equipment to customer's desired destination

Education and Experience

  • Previous logistics experience working with ocean freight and imports required
  • Associate degree required. Bachelor's degree preferred.

  • Must be able to remain in a stationary position for a prolonged period of time
  • Must be able to transport 15 pounds
