The DoughCone is a mobile catering business specializing in vanilla bean ice cream made from scratch in a handmade donut cone. In addition to our signature treat, we act as a catering brokerage, connecting clients with the best food businesses to fulfill all their catering, event management, and logistics needs. We pride ourselves on delivering personalized and exceptional catering experiences.

Role Overview:

This is a full-time hybrid role for an Event Coordinator at The DoughCone. The DoughCone is seeking a highly motivated and experienced Catering Sales Manager for Corporate and Social events to join our team. As an Event Coordinator, you will be responsible for overseeing all aspects of our catering operations, ensuring exceptional customer service, and driving sales growth. This is a dynamic role that requires strong leadership skills, excellent communication abilities, and a passion for delivering outstanding catering experiences.

You will play a key role in maintaining strong client relationships, driving business growth, and ensuring seamless event execution from start to finish.

  • Experience with Hubspot, Google Suite, and MS Office Suite (1 year +)
  • Bachelor's degree in Hospitality Management, Marketing, or related field
  • Bi-lingual in English and Spanish is not required but a plus

Key Responsibilities:

  • Sales & Client Communication: Generate new business through proactive sales calls, maintain communication with clients, and provide exceptional service throughout the event planning process.
  • Event Planning & Coordination: Manage logistics, including staffing, menu creation, and equipment rentals, ensuring flawless event execution while following internal SOP and utilizing CRM. Hubspot experience is a major plus.
  • Customer Service: Respond to client inquiries within 24 hours or same day if reasonable and ensure that all event details align with the client's vision and expectations.
  • Executive Team Communication: work with C-level executives, business owners, and HR professionals, offering a competitive edge in understanding and meeting their unique needs.
  • Culinary Masterminding: Embrace your inner foodie, work with the owner and culinary teams to create customized menus and ensure high-quality food preparation (We do much more than ice cream!)
  • Team Collaboration: Act as the point of contact for the operations team, ensuring clear communication and smooth coordination between client expectations and food preparation.
  • Relationship Building: Build and maintain long-term relationships with clients, understanding their needs and preferences to customize events effectively.
  • Event Leadership: Lead both corporate and bridal events, working directly with culinary teams to ensure high-quality food and seamless service.
  • Market Strategy: Track trends and competitor activity to develop effective marketing strategies and maintain competitive advantage.

Qualifications:

  • Bachelor's degree in Hospitality Management, Marketing, or a related field.
  • Experience in event planning, sales, or catering services.
  • Proficiency with CRM software (Hubspot is a plus) and Google Suite.
  • Strong communication and customer service skills.
  • Ability to manage multiple events and clients in a fast-paced environment.
  • Experience with business development and sales targets in the catering or food industry.
  • Excellent negotiation skills to secure profitable contracts with clients.
  • Professional appearance and demeanor, adaptable to different event environments.
  • Track leads, manage accounts, and monitor sales performance in Hubspot and internal documentation.
  • Identify potential clients and develop targeted marketing strategies to win them over
  • Negotiate contracts and pricing with clients to maximize profitability while meeting their budgetary constraints

  • Experience in business development and generating new leads for catering services
  • An energetic and positive outlook, paired with a proactive work ethic, driving you to exceed expectations and tackle challenges enthusiastically. You'll work directly with company leaders to really hone your skills and understand our processes.
  • Strong negotiation skills to secure profitable contracts with clients is a plus
  • Maintain a professional and polished appearance at all times, aligning with our brand's high standards. For example, for corporate events in which you are the on site coordinator, you'll need to wear business casual attire. For large outdoor events, you can expect to wear a DoughCone T-shirt and black jeans.

Essential Job Functions.

Including, but not limited to:

  • Learn the Company's point of sale system

  • Source/solicit, schedule and run Company events

  • Manage Company coneheads (team member)

  • Manage & forecast product inventory & equipment maintenance, not limited to DoughCone truck

  • Host team and 1:1 meetings and trainings

  • Run business related errands (may include inventory runs)

  • Handle service recoveries for guest related issues

  • Offer feedback on process/program improvements

  • Attend leadership team meetings with the owner and operations manager

  • Review & give conehead performance feedback

  • Weigh in on hiring & firing decisions

  • Social media assistance

  • Start up and operation of future trucks, ventures, and partnerships

  • Assist with and lead events with subcontracted vendors

  • Sourcing new sale opportunities and clients and closing deals for the Company

  • Responding to and closing inbound clients

  • Nurturing existing clients for repeat business

  • Acting as a point of contact for for clients regarding their events

  • Assisting with event management and coordination

  • Providing administrative support to the business

  • Helping run business operations

  • Email, outbound, and inbound marketing assistance

  • And other duties as assigned

Key Responsibilities:

Sales and Event Management:

  • Manage CRM system and communicate with clients for event confirmations and details.
  • Source, nurture, and close new business for catering and brokerage services.
  • Build and maintain relationships with existing clients to secure repeat business.
  • Serve as the main point of contact for clients, overseeing event execution and service.
  • Coordinate event logistics and ensure smooth operations with the team.
  • Attend events to manage day-of logistics and ensure client satisfaction.
  • Identify new sales channels and growth opportunities.
  • Track sales, revenue, and lead sources to inform business strategy.

Customer Service:

  • Provide exceptional service and resolve client issues professionally and promptly.

Social Media Management:

  • Assist with social media updates across platforms (Facebook, Instagram, TikTok, Google Maps, Yelp).

Team Collaboration:

  • Participate in team meetings and contribute feedback to improve operations and service.
  • Assist with menu development, special promotions, and service enhancements.

Administrative and Operational Support:

  • Run the food truck and events independently when needed.
  • Manage team schedules, performance, and assist with hiring and training.
  • Support hiring/firing decisions and provide ongoing team development.
  • Oversee wholesale operations and ensure smooth development and fulfillment.
  • Maintain operational calendars and conduct event forecasts and post-event analysis.

Inventory and Equipment Maintenance:

  • Assist with inventory management and occasional errands.
  • Support food truck maintenance and repairs.

Growth and Development:

  • Start with event coordination and sales, progressively taking on more responsibilities.
  • Opportunities for role advancement and compensation review after 1 year.
  • Work to increase revenue under management and grow the business.
  • Discuss profit-sharing or equity opportunities during annual reviews.

Technical Skills:

  • Utilize software tools such as CRM (Hubspot), Microsoft 365, Google Suite, Canva, and other relevant tech platforms.
  • These responsibilities focus on driving business growth, ensuring exceptional client experiences, and supporting operational efficiency. As the role progresses, you'll have opportunities for career development and increased responsibilities.
